Duties:

The Office of the Executive Director, Universities at Shady Grove is seeking Scheduling & Space Coordinator with professional level support in scheduling activities related to academic programs (classes, study sessions, etc.) and analytic support related to facility use and policy implementation. Candidate's duties include scheduling of rooms for classes and accompanying activities from nine USM institutions offered at USG, working as a liaison to the academic programs and administrative personnel, and providing analytic support, preparing reports as well as recommending improvements to existing scheduling policies and practices.

  • Scheduling of rooms for classes, information sessions, breakout sessions, and study sessions related to the academic programs from the nine USM institutions, offered at USG. There are currently more than 350 classes offered each semester and this number is expected to grow as more institutions are represented and more programs are offered at USG. This includes entry of data, data organization and management of all databases related to the scheduling of academic programs at USG.
  • Working as a liaison to the academic programs and administrative personnel in communicating and implementing administrative policies related to scheduling and space use at USG. This includes interacting on a regular basis with academic program directors, faculty, students, and administrative personnel to provide course information and identify/resolve problems related to policy implementation. This area includes coordination with USG Conference and Event Services regarding their use of the facilities on campus.
  • Providing analytical support in preparing and providing reports to administrative personnel of the Office of the Executive Director on the use of the facilities as well as policy implementation. This support incorporates all of the uses of all facilities; both academic as well as those related to Conference and Event Services. This support may include troubleshooting problems as well as recommending enhancements and improvements to existing scheduling policies and practices.
Qualifications: Bachelor's degree preferred or equivalent combination of education and experience with at least 2-4 years experience directly related to duties and responsibilities specified and/or providing professional administrative support. General knowledge of space scheduling software is preferred but not required. Successful candidates must possess skill in operating computers and peripherals and in using word processing, database, and spreadsheet software. Excellent customer service skills and ability to handle a fast-paced work environment is also required.
